Which mandatory fields does a §14-UStG-compliant invoice include?

So that the tax office accepts your invoice and your customer can deduct input tax, §14 UStG requires these details:

  • Full name and address of both supplier and recipient
  • Tax number or VAT ID of the supplier
  • Issue date and service date (time of supply/service)
  • Sequential, unique invoice number
  • Quantity and type of the supply/service
  • Net amount broken down by VAT rate, plus the applicable rate and tax amount (or a note on the tax exemption)
  • Any reductions agreed in advance

Our invoice generator pre-builds every field so you don't miss a mandatory entry. For small-amount invoices up to 250 € gross (§33 UStDV), simplified details are sufficient.

Calculate VAT automatically: 19% and 7% examples

The generator handles the entire tax calculation. You enter the net amount; the tool does the rest.

Example 19% (standard rate): On 1.000,00 € net, 190,00 € VAT is added – a gross total of 1.190,00 €.

Example 7% (reduced rate): On 1.000,00 € net for e.g. books or groceries, that's 70,00 € VAT – a gross total of 1.070,00 €.

Multiple VAT rates on one invoice are no problem: the generator automatically breaks the net amount down by 19% and 7%, exactly as §14 UStG requires.

Creating an invoice as a small business (Kleinunternehmer, §19 UStG)

As a Kleinunternehmer you show no VAT. Since 2025 the thresholds under § 19 UStG apply: prior-year turnover of at most 25.000 € and current-year turnover of at most 100.000 €.

In the generator you simply choose "Kleinunternehmer" mode. The mandatory note then appears automatically on the invoice:

"Gemäß § 19 UStG wird keine Umsatzsteuer berechnet."

Your invoice stays correct even without a VAT line. Note: without VAT shown, you have no input-tax deduction.

What about the e-invoice from 2025 onward?

Since 01.01.2025 every domestic business must be able to receive structured B2B e-invoices. Issuing has transition periods: until 31.12.2026 you may still send paper or PDF invoices with the recipient's consent; for businesses with prior-year turnover up to 800.000 € even until 31.12.2027. From 01.01.2028 the structured e-invoice becomes mandatory for B2B.

For B2C (private customers) and for the tax-free sales of small businesses, the issuing obligation does not apply. EN 16931 e-invoice formats are XRechnung (pure XML) and ZUGFeRD (hybrid PDF/A-3 with embedded XML). A PDF from our generator covers B2C sending and the ongoing transition period.

You won't miss a mandatory entry.

Can I create an invoice as a small business (Kleinunternehmer)?

Yes. In Kleinunternehmer mode under §19 UStG no VAT is shown, and the mandatory note "Gemäß § 19 UStG wird keine Umsatzsteuer berechnet." appears automatically. The 2025 requirement: prior-year turnover of at most 25.000 € and current-year turnover of at most 100.000 €.

How does the generator calculate VAT?

You enter the net amount and the VAT rate, and the tool calculates automatically: gross = net × (1 + rate/100). On 1.000,00 € net at 19% that's 190,00 € VAT and 1.190,00 € gross. Multiple rates (19% and 7%) are shown separately on one invoice.

Does the generator also create e-invoices (XRechnung/ZUGFeRD)?

The generator creates PDF invoices, which are valid for B2C customers and, during the transition period (until end of 2026, in some cases 2027), for B2B with the recipient's consent. Structured e-invoices under EN 16931 such as XRechnung or ZUGFeRD become mandatory for B2B from 2028.

How long must I keep created invoices?

Invoices must be stored unalterably under GoBD. The retention period for invoices was reduced from 10 to 8 years in 2025. With a free account your invoices stay available in your history and can be re-downloaded as a PDF at any time.
